How is my time tracked?

Whether you are using a pay monthly retainer, hourly or bespoke rate.  The time will be tracked using a tracker app.  When completing work for yourself the timer is started and stopped when required, this is counted per minute.  You will be sent a report weekly to keep track of hours used. 

Can I roll my hours over if not used?

When using a pay monthly retainer, the time will be tracked, you are sent regular reports on time spent, so that you can keep track of the time being used and plan accordingly.  At the end of the last working day of the month your hours will be reset. Any unused hours can not be rolled over to the next month.  Your hours will be monitored and we can change them according to your needs.

How do I pay?

Pay monthly retainer plans are paid upfront for the month ahead and will be paid via standing order each month. Any subsequent hours used (agreed before hand) will be invoiced and this will be due for payment within 7 days.

Hourly will be invoiced upon completion of each task (or weekly, whatever is soonest) payment will be due within 7 days.

Bespoke plans will have payment terms created accordingly and will be discussed prior to any work being undertaken. 

Can I pay for part hours?

When paying an hourly rate, minutes will be rounded up to the nearest 15 minute (15, 30, 45, 60).

Monthly payment retainer plans are charged for block hours and will not be adjusted, as you are paying for the guaranteed time per month. However hours are tracked and can be amended on a monthly basis if not all hours are used, or more hours are often required.

How do you access my telephone calls?

I am able to answer phone calls by putting a simple call divert on your landline or mobile phone.  The call will be diverted to my phone system.  The caller display will show diverted from your account, this will allow me to answer the phone with your preferred greeting, your recipient will not need to know the call has been diverted unless that is your preference. For clients that are using a mobile number to take incoming calls a landline number can be provided with your area code and chosen number for a more professional appearance.

Are you insured and compliant?

I am fully insured to trade as a Virtual Assistant.  All new clients will be required to sign a contract prior to any completion of work.  To comply with EU data protection regulations I am registered with the ICC, you will be sent the Data Processing Agreement.
